What does the day look like?
An office coordinator ensures the physical readiness and administrative flow of an office workplace. Standard working hours run Monday through Friday, typically 08:30 to 17:30 or 09:00 to 18:00 (40 hours per week). There are no night shifts or on-call duties, though arriving at 08:00 to prepare meeting spaces before staff arrive is common.
Roughly 25 percent of the day is front-of-house work: greeting visitors, answering phone inquiries, and managing meeting calendars. Another 35 percent goes to vendor coordination, supply restocking, receiving couriers (DHL, FedEx), and facility upkeep. Around 25 percent involves processing expense reports, matching invoices, and handling administrative paperwork, while the remaining 15 percent is spent troubleshooting immediate issues like printer jams or HVAC faults. Daily tools include Microsoft 365, Google Workspace, desk-booking platforms like Envoy, Robin, Archie, and OfficeRnD, communication tools like Slack and Zendesk, and accounting software such as Concur or QuickBooks.
