What does the day look like?
The day runs on a standard office schedule: 40 hours per week, 8 hours per day, 08:30 to 17:30 or 09:00 to 18:00. Only 15% is the visible part: field missions, beneficiary consultations, high-level diplomatic briefings, and ministerial working group meetings. The rest is compliance and paperwork: 40% grant compliance and financial oversight, 25% monitoring and evaluation reporting, 20% procurement and partner management.
The 40% means reviewing grant milestone deliverables, clearing invoices against approved line-item budgets, issuing sub-grants, checking compliance with USAID 2 CFR 200 or EU DG INTPA financial rules, and auditing downstream local partner receipts. The 25% means collecting data from field teams, updating logframes and KPI tracking, writing quarterly progress reports, and answering donor audit queries. The 20% means drafting TOR documents for external consultants, convening selection committees, reviewing technical bids, and chasing partner milestones. Named tools: SAP as Umoja, Oracle Cloud ERP, Unit4, Microsoft Project, Smartsheet, Trello, Jira, Logframer, KoboToolbox, ODK, Qualtrics, PMS, SAM.gov, and SEDIA / Funding & Tenders portal. Regional field missions run each quarter and last 3 to 7 days per trip. Emergency duty stations impose 12-hour shifts with 24/7 on-call readiness.
